In its simplest form, digital document management involves the conversion of paper documents into image files that are stored in an electronic repository.

One of Intuition's greatest strengths is that it enables you to store your electronic files—from Word® documents and PDFs to spreadsheets and archived e-mail messages—in the same repository. Because all of your files are in one location, you can find the information you need in seconds.

   
             
    How do I convert my paper documents into image files?    
   

You can use any scanner or multifunctional peripheral (MFP) to convert your paper documents into image files, which you can then import into Intuition.

If your scanner uses an ISIS driver, you can scan documents directly into the Intuition repository. You can also take advantage of Intuition’s easy-to-use scanning interface, which includes comprehensive image clean-up tools that help you get a clean scan every time.

   
             
    What format does Intuition use to store my scanned documents?    
   

Scanned documents are stored in the TIFF format, which has been an industry standard for more than 20 years. Because this format is non-proprietary, you'll be able to easily share your scanned documents with other users.

Electronic files, such as spreadsheets and PDF files, are stored in their native formats.

   
             
    How do I get my electronic files into Intuition's repository?    
   

Using your mouse, you can simply select an electronic file, such as a Word document or PDF, and drag it into the repository.

Integration with Microsoft Office enables you to send office files—including Word documents, Excel® spreadsheets and Outlook® e-mail messages—to Intuition, without leaving the application you're working in.

   
             
    How does Intuition help me organize my documents?    
   

Like Microsoft Windows®, Intuition uses a flexible electronic folder structure that lets you organize your documents in the way that makes sense for how you do business.

Each electronic folder can accommodate numerous documents and subfolders. You can also create nested folder structures that enable you to drill down through a group of subfolders in order to locate increasingly specific information.

   
             
    What are templates?    
   

Templates are collections of fields in which you can enter specific information about a document. For example, you might apply a template to each of your financial plans so that you can record the client's name, account type and account number.

This information, known as metadata, helps you better classify each of your documents and is also highly useful for search purposes.

Intuition includes standard templates that we created with the investment advisor's needs in mind. You can, however, create your own templates and template fields as well.

   
             
    What is optical character recognition (OCR)?    
   

OCR is a process that translates typewritten content into fully-editable and searchable text.

Intuition automatically performs OCR on every document you scan. You can review and edit this text at any time in order to correct minor errors that may occur during the OCR process.

   
             
    What kinds of searches can I perform?    
   

In addition to performing keyword and metadata searches, you can search using criteria such as a document's name or creation date, or the date on which the document was last modified. You can also search using the name of the electronic folder in which the document is stored.

To help you pinpoint the information you need, Intuition also enables you to combine multiple types of searches.

   
             
    How many documents can the repository hold?    
   

We've built Intuition to store millions of document pages, without slowing down. Even after you've built a substantial archive of scanned documents, searches only take seconds. And because Intuition is built by Laserfiche®, you can easily move to a larger, networked system whenever you're ready to take the next step in document management.

   
             
    How can I distribute my documents to other users?    
   

You can easily e-mail or fax documents to clients, business partners or others from within Intuition. You can also quickly print documents or parts of documents, including zoomed regions.

Intuition includes redaction tools that you can use to obscure sensitive information—such as a client's social security number—prior to printing or e-mailing a document.

   
             
    Once I buy Intuition, what kind of technical support do I get?    
   

When you purchase Intuition, you receive access to the Intuition Support Site, which includes a wealth of educational and technical materials, from Knowledge Base articles to white papers to best practice recommendations. The Support Site also hosts a forum where Intuition users can network with each other and share tips and tricks.

You also receive one year of technical support. In the event that you encounter a technical issue while working with Intuition, you can contact one of our support engineers by telephone or via e-mail.
   
             
    Is Intuition easy to install?    
   

Yes. Simply place the CD in your computer's drive and the installation wizard will walk you through the process.

To get you up to speed quickly, Intuition comes with a Quick Start Guide, as well as several video files. This material introduces you to the system's features and explains how you can import your files into the repository.
